PURPOSE OF POSITION:

The Administrative and Inventory Assistant will be primarily responsible for supporting the General Manager as RGL continues to grow as well as assist and back up the Inventory Specialist.

JOB DUTIES:

  1. Provide administrative support to the General Manager
  2. Perform clerical functions as requested
  3. Assists the team with project management
  4. Collect data and compile reports
  5. Interact with customers to understand processes and procedures
  6. Assist with new customer setup from start to finish and ongoing support for operations
  7. Customer interaction on a regular basis to understand their needs and ensure compliance
  8. Putting together timelines for projects, prepare presentations, coordinate meetings
  9. Manage operation specific orientation for new employees
  10. Managing projects and ensuring tasks within timelines are met
  11. Accurately maintain and process weekly payroll records and labor reports
  12. Process all vendor invoices for payment
  13. Process daily incoming and outgoing mail to include overnight packages
  14. Respond to client telephone calls in an expeditious and courteous manner
  15. Responsible for ordering and maintaining inventory or office supplies
  16. Issue security badges
  17. Employee attendance tracking
  18. Conducts both scheduled and unscheduled product counts of items on hand.
  19. Researches inventory discrepancies between the Warehouse Management System, ERP System and physical counts.
  20. Ensures that all open issues are fully resolved in a timely manner.
  21. Assists with physical repack and disposal of damaged and discontinued items as needed.
  22. Follows all safety rules and guidelines as it pertains to position.
  23. Required to qualify and provide back-up support to other administrative positions as assigned.

QUALIFICATIONS NEEDED:

A high school diploma or G.E.D. equivalency is required. Associates degree preferred. Customer service skills, and experience with computerized software would be beneficial. Attention to detail, multi-tasking, is a self-starter and customer service along with background in Inventory Control, Warehouse administration or related experience is preferred. Strong analytical, problem solving, and project management skills required. Must be proficient in Microsoft Excel, Word, Projects and Prezi.

PHYSICAL DEMANDS OF THE ESSENTIAL FUNCTIONS:

Sitting, talking, hearing, and vision are required over 95% of the time, while walking is required about 15% of the time.  Feeling is required 75% of the time, and reaching is required about 20% of the time.  Bending, twisting, and climbing are required less than 10% of the time.  Low levels of lifting (10 pounds or less) is required about 10% of the time, while medium levels of lifting and carrying (20 to 40 pounds) are required less than 5% of the time.
